User Adoption Research: Details from my PhD Research

CRM Governance is Critical to Adoption Success

The last sub-theme, or axial code, “Governance of CRM,” was made by combining three open codes. The governance of CRM was an important consideration. Many respondents stated that they have created an internal committee to manage and govern the CRM implementation and adoption issues in the organization.

As one of the respondents stated, “There is an internal committee at the organization that manages the database, and it’s mostly the team that kind of owns that.” One respondent also mentioned that the sales manager is looking after the CRM in their organization. As stated by the respondent, “The person that oversees is our sales manager.” However, one respondent mentioned that their governance structure is unclear, and that impacted the efficiency of the operations at their organization. In the words of this participant: “So you get to that point, you have no governance, there’s no, it was. It’s interesting, because you’re like, we’re a capacity builder, we should know, we should have those systems in place.”

Q: What is the difference between a Role and a Profile?

A: We have not talked about this yet in the newsletter so thank you!

In Salesforce, a Profile controls what a user can do. It is mandatory for every user and sets their baseline permissions, dictating which objects they can access (like Accounts or Contacts), which fields they can see, and what actions they can perform (such as creating or deleting records). Think of it as a user’s license or toolset within the system.

In contrast, a Role controls what a user can see. It is an optional feature structured like a company org chart (a hierarchy) used to open up record visibility. Users higher up in the role hierarchy automatically inherit access to the data and records owned by the users below them, ensuring managers can easily oversee their team’s data.

Hope this helps! It’s a small simple difference that changes everything!
