Your Email Platform Sets Your Lightning Sync Deadline: October 2026 or April 2027

Microsoft 365 orgs lose calendar sync on October 1, 2026, silently, with no error. Google Workspace orgs have until April 1, 2027. Both dates end the same way: Lightning Sync off, and a replacement running in its place.

If You Use Microsoft 365 — October 2026
Microsoft closes the connection Lightning Sync runs on. Calendar sync stops that day, with nothing shown to explain it. This is the deadline that lands first, and it lands hardest, because nothing warns you.

If You Use Google Workspace — April 2027
Lightning Sync is switched off entirely, on every platform. Nothing before this date affects Google Workspace orgs, which is exactly why it catches them out; none of the coverage so far has been about you.

The Retirement Schedule

One Date Behind You. Three Ahead.

  • Aug 2026 — Passed: Salesforce’s cutoff to re-authorize Microsoft 365 connections onto Microsoft Graph. If yours wasn’t moved, Lightning Sync’s calls are already failing with an access error nobody sees. The switch is one-way; once a connection moves off the old pipe, it can’t go back.
  • Oct 2026: Microsoft starts blocking EWS. Lightning Sync’s calls fail with an access error nobody sees, and calendars and meetings stop appearing in Salesforce.
  • Feb 2027: Salesforce deletes four of EAC’s reporting features. Reports and dashboards built on them return nothing, with no error message to explain why.
  • Apr 2027: Lightning Sync is switched off completely, on every platform, including the Google Workspace orgs that nothing before this date warned.

What Stops Working, In Order

Nothing throws an error. That’s what catches teams out; sync goes quiet and the gap grows from there.

  • Straight Away — New meetings stop arriving: Meetings booked in Outlook or Google no longer appear on account records.
  • Within Days — Reps notice before reports do: Someone opens an account to prep a call and can’t see recent activity.
  • 1–2 Weeks — Activity data goes stale: Last-contacted fields drift. Automation keyed to recent activity stops firing.
  • After That — The gap widens quietly: No alert. The distance between calendar and CRM grows until someone rebuilds it.

Before You Choose A Replacement

What To Check In Your Org

Eight answers you can pull today. Every one of them changes what your replacement has to support, and most orgs find at least two surprises.

  1. Who’s still on Lightning Sync — Setup → Lightning Sync → Configurations. Every active config lists the users who lose sync.
  2. Which connection method — Service account or OAuth. One you re-authorize; the other you rebuild user by user.
  3. EWS or Microsoft Graph — If your Microsoft connection never moved to Graph, sync is already failing quietly.
  4. Where the history actually sits — Synced meetings live on records. Captured email may sit off-platform and expire.
  5. What reads Last Activity Date — Reports, list views, flows and inactivity alerts go blank without throwing an error.
  6. Shared and delegate calendars — Set up once and never revisited. Most replacements don’t support them.
  7. Partner and community users — Licensed differently. Check coverage before you assume parity.
  8. Custom objects with activity — Lightning Sync never wrote to them. Confirm your replacement can.

When we introduce AI into commercial workflows, we aren’t just teaching employees a new software interface—we are asking them to change how they make decisions, trust automated recommendations, and adapt their daily habits. Grounding your rollout in proven academic frameworks like Diffusion of Innovations and the Technology Acceptance Model (TAM) helps bridge that gap by prioritizing human trust over software hype.

Key takeaways every CRM lead should keep in mind:

  • Focus on the Middle Majority: Real organizational change isn’t driven by tech-obsessed early adopters; it’s driven by the 68% “pragmatic majority” who wait until a tool proves safe and useful.
  • Perceived Utility Beats Flashy Features: If reps don’t see immediate personal value or find the tool intuitive, usage drops off regardless of executive mandates.
  • Reinforcement Over One-Off Training: One marathon training session won’t build lasting habits. Adoption requires continuous learning, leadership modeling, and visible quick wins.

Q: Now that we’ve migrated our Workflow Rules and Process Builders to Flow, how do we make sure the upcoming Winter ’27 Release doesn’t break our new automations?

A: Great timing on this question! With the Winter ’27 Release rolling out across production environments over the next few weeks (early October), prepping your Flows before release weekend is critical to keeping your CRM running smoothly.

Here are three steps every Salesforce lead should take right now:

1. Run Sandbox Regression Testing: Test your mission-critical Record-Triggered Flows in a refreshed sandbox running the Winter ’27 release preview. Pay special attention to complex logic loops, external API callouts, and field updates on heavily customized objects.

2. Review API Versions: Make sure your new Flows aren’t anchored to legacy API versions. Updating your Flows to the latest API version ensures you benefit from Salesforce’s newest performance enhancements and security patches.

3. Audit Flow Trigger Orders: If you migrated multiple legacy automations on the same object into separate Flows, use Salesforce’s Flow Trigger Explorer to explicitly define the execution sequence. Uncontrolled execution order is the number one cause of race conditions and intermittent errors after major platform updates!
